Rostering that runs on volunteers. Free for your organization.
jottedIn collects who's free, builds a fair volunteer roster, and handles the "I can't make Sunday" messages on its own. Verified non-profits use it free — the whole Organization tier.
No accounts. No app. Just a link.
Volunteer software fails when volunteers won't sign up for it. jottedIn's members never log in — every interaction happens through a signed, personal email link. That single decision is why rosters actually get filled.
They tap a link
An email asks when they're free. Preferred, Available or Unavailable per date — or "always free Sundays" once. It auto-saves.
The roster builds itself
jottedIn spreads serving fairly across the team — nobody's rostered on three weeks running because they're the reliable one.
Drop-outs cover themselves
"Can't make it" quietly asks the qualified people to cover. First to accept wins, everyone's notified — no Saturday-night phone tree.
Every ministry, every service, one roster.
Worship, sound & visuals, kids' ministry, welcome and hospitality — across several Sunday services, every week. Volunteers serve on rotation (often fortnightly) and never need an account.
The "can anyone cover?" flow absorbs the inevitable last-minute drop-outs, so Sunday morning isn't a scramble.
Competition day, fully crewed.
Golf, bowls, sports clubs — a large playing membership, and a smaller pool who volunteer for duty roles: starters, marshals, competition desk, bar, kitchen, greens.
Weekly competition days plus the occasional working bee, with committee-approved swaps when members trade duties.
Any team of helpers, kept fair.
Food banks, op shops, community gardens, school fairs, sports sidelines — anywhere people put their hand up, jottedIn spreads the load and keeps track.
Call your people volunteers, members or helpers — the wording is yours, per organization. Print the roster for the noticeboard, or share a public link anyone can check.
The whole toolkit, not a taster.
Fair auto-generation
The premium roster generator, included — because volunteer coordinators need it most.
Recurring patterns & templates
Every-Sunday services and term-time rosters, set up once and reused.
Generous capacity
15 coordinators, 250 members and 50 rosters — enough for a multi-ministry church or a busy club.
Print & share
PDF for the noticeboard, iCal for the calendars, a public link for everyone else.
Free — the honest version.
Who qualifies for the free Organization tier?+
Registered non-profits: churches and ministries, sports and social clubs, community groups. If your organization exists to serve rather than to profit, you're who this tier is for.
How does verification work?+
You provide your organization's registration number and country at sign-up — that's it. It's an honour system: no documents to upload, no waiting for approval. We keep the details so eligibility can be checked if abuse is ever suspected.
Is it really the full product?+
Yes — including the premium features: auto-generation, recurring patterns, templates, exports. The Organization tier is more capable than the paid Business tier, because volunteer teams tend to be bigger.
Do our volunteers' details stay private?+
Volunteers are added by your organization and we hold the minimum — typically a name and email. Public roster views can show first names or duties only. Export and erasure are built in, GDPR-style.
What if we outgrow it?+
You'll be warned as you approach the limits, and nothing is ever deleted. The Extra Large tier (500 members, 100 rosters) is there if you genuinely need more. See pricing →
