The problem

Every roster starts with the same two headaches.

First, finding out who's free. The staff group chat, reply-all emails, a spreadsheet someone forgets to update. It eats hours every week, and half the answers arrive after you've started anyway.

Then, the jigsaw. Fitting everyone in without double-booking anyone, over-working your most reliable people, or leaving Saturday's bar short. And the moment you publish it, someone can't make their shift.

jottedIn owns all three: collecting availability, building a fair roster, and handling the curveballs after.

How it works

From who's free? to published, in five steps.

Full walkthrough →
01

Set up your roster

Name it, set the time, add your duties and how many people each needs. Recurring or hand-picked dates.

02

Ask who's free

One click emails everyone a personal link. They tap Preferred, Available or Unavailable. No login. Reminders chase the stragglers.

03

Generate a fair roster

jottedIn fills the grid from real availability, spreads the load evenly, and flags what it couldn't fill.

04

Review & publish

Send a draft so the team can flag clashes, then publish. Everyone gets their shifts, automatically.

05

Handle the curveballs

Someone can't make it? Qualified people are asked to cover — first to accept wins. Swaps too.

No logins

Your staff never create accounts.

Everyone gets signed, personal email links — for availability, viewing the roster, covers and swaps. No passwords, no app store, nothing to forget. It's the reason casual staff actually use it.

You get the full dashboard; everyone else just taps a link.

A fair roster, built from real availability.

One click fills the grid. jottedIn balances the load so your reliable people don't get over-scheduled, respects locked assignments, and is honest about what it couldn't fill.

Don't like the result? Regenerate for a different solution — or drag people around yourself.

Covers & swaps on autopilot

"Can't make it" triggers cover requests to qualified staff. Swaps with optional manager approval.

A grid you can actually drive

Drag people into cells, reorder duties, override staffing per date. Draft → Proposed → Published.

Multi-venue, multi-manager

Run every venue from one account, with coordinators scoped to the rosters they manage.

Calendars, exports & the phone

iCal feeds, public roster views, PDF + CSV, installable app with push reminders before every shift.

Who it's for

Built for businesses that run on shifts.

If your week is a rota of lunch services, opens and closes, jottedIn was made for you.

FAQ

The questions everyone asks.

Do my staff need accounts?+

No — that's the whole point. Staff get signed, personal email links for everything: sharing availability, viewing their shifts, accepting covers, proposing swaps. Only coordinators log in.

Is there a free trial?+

The Free tier is the trial — no time limit, no card. Upgrade, downgrade or cancel yourself anytime; billing is handled securely by Stripe.

Can staff swap shifts or find cover themselves?+

Yes. A “can't make it” automatically asks qualified staff to cover — first to accept wins. Staff can also propose mutual swaps. You choose whether either needs manager approval.

Does it work with our calendars and systems?+

Everyone can subscribe to an iCal feed of their own shifts (or a duty's). There's a shareable public roster view — full names, first names, or duties only — plus PDF and CSV exports for printing.

Is there a mobile app?+

jottedIn installs straight from the browser as an app on any phone — no app store. Push notifications and shift reminders included. And the email links work everywhere, app or not.

What about our staff's data and privacy?+

Staff are added by their organisation and we hold the minimum — typically a name and email. Data export and erasure are built in, GDPR-style. We never sell or share member data.

We're a non-profit — is it really free?+

Yes. Verified churches, clubs and community groups get the Organisation tier free — 15 coordinators, 250 members, 50 rosters and the premium features. Verification is an honour system: your registration number and country at sign-up. More for organisations →
